Merchant Terms and Conditions
The Central Alberta Quilter's Guild (“CAQG”) Quilt Show Committee reserves the right to accept or reject any registration. In the event a merchant registration is declined, a full refund will be provided.
Registration for returning Merchants is required on or before December 15, 2018. After this date, registration will be open for others.
The CAQG Quilt Show Committee shall finalize the floor plan upon completion of the registration process. While an effort shall be made to assign Merchants to the same booth space held in the previous Quilt Show, this cannot be guaranteed. Floor space optimization and reducing points of congestion are the top priorities when determining booth assignments.
The Merchant agrees to the following:
Cancellations must be received by the Merchant Mall Coordinator in writing, via email to: firstname.lastname@example.org on or before January 15, 2019. Cancellations are subject to a 25% administration fee. Cancellations on or after February 28, 2018 are non-refundable.
Abide by all the rules and regulations of The Westerner Facility.
Not deface, injure, mar or in any manner damage the premises. Will not drive or permit to be driven by any party acting by or through exhibitor, any nails, staples, hooks, tacks, screws, or such things into any part of the premises, including tape that would deface the walls, ceiling, floors, facilities and equipment contained within the premises.
Merchants are required to check in at the Merchant Registration table before setting up your booth. The table is located at the East end loading area, near the cafeteria.
Drop door prizes off at the Merchant Registration Table either Thursday evening or Friday morning before 9:30am. The generosity of our Merchants over the past several years with Door Prize donations is greatly appreciated by the CAQG and by the attendees. While this is not a mandatory requirement, we would like to encourage your continued support of the Quilt Show through the donation of door prizes. While every effort will be made to award all door prizes to the paid Quilt Show attendees, in the event that all door prizes are not awarded at the event, any remaining door prizes are available to the CAQG Quilt Show Volunteers through a random draw at the next monthly CAQG Meeting.
Set up booth on Thursday, April 4, 2019, from 3:00 to 9:00 pm. Set up can resume on Friday morning from 7:00 to 9:00 am. Please be prepared for the early entry of Breakfast Ticket Holders at 9:30 am. General admission will commence at 10:00 am, Friday and Saturday. Merchant is responsible for extra help and any carts necessary to move your property.
Your vehicles shall not block any doors or exits at back (east end) of the building. Temporary loading only is permitted. This is necessary to allow emergency vehicles access to the building. Vehicles will not be permitted inside the building during setup and may be allowed after all quilts and stands have been removed after the show.
Take down booth immediately at the close of the show, but not before 5:00 pm on Saturday – refer to Condition 21. Merchant is responsible for extra help and any carts needed to remove your property.
It is imperative that all your displays and products remain within your booth boundaries. There will be no exceptions.
Furnish all extension cords and lighting necessary, to plug into the outlet provided for your booth for lighting and electrical equipment requirements.
Limit sales representatives to: 2per 10 ft. of booth space. All merchants and staff must wear ID Tags provided by CAQG at all times during the show.
Not generate any excessive noise, such as speakers and music.
Not sublet booth space.
Not sell or serve any food or beverages to the Quilt Show attendees and public at large. For customers, small candies are permitted.
Not solicit business of any nature outside of your booth boundaries. Keep all staff out of the public aisles.
Merchant is responsible for all local and provincial taxes.
Assume risk for theft from your booth. The CAQG does not assume any responsibility for theft or damage to Merchants’ goods.
If interested in participating in the Quilt Show ‘Demos’, Merchant shall provide a demonstration that informs or educates the audience on new tools and/or techniques. It is highly recommended that Merchants do not repeat previous demonstrations. CAQG Quilt Show committee reserves the right to approve or reject proposed demonstrations.
Merchant shall start and end the demonstration within the scheduled time(s) offered. Each merchant is allowed a 30-minute presentation with 15 minutes to set up unless otherwise agreed to. The Merchant must clear the area immediately following the demonstration.
Shall provide the specified Insurance coverage: All merchants must provide proof of insurance (general liability) in the amount of $1,000,000 to the CAQG Merchant Mall Coordinator no later than February 5, 2019. Each merchant shall assume responsibility for any and all damage to the exhibit area, and they shall indemnify and hold harmless CAQG Show Committee, Central Alberta Quilter’s Guild and The Westerner, their employees, volunteers, officers, agents and service contractors acting as agents for said companies, from all liability, which may ensue from any cause whatsoever. Submit your certificate of insurance to Merchant Mall Coordinator by February 5, 2019.
Any violations of these Terms and Conditions may disqualify Merchant from future CAQG Quilt Shows.The CAQG Quilt Show Committee reserves the right to accept or reject any registration.
