Merchant Terms and Conditions

 

The Central Alberta Quilters' Guild (CAQG) Quilt Show Committee reserves the right to accept or reject any registration. In the event a merchant registration is declined, a full refund will be provided.

The CAQG Quilt Show Committee shall finalize the floor plan upon completion of the registration process. Floor space optimization and reducing points of congestion are the top priorities when determining booth assignments. 

The merchant, their employees or agents, agree to the following:

1.  Cancellations must be received by the Merchant Mall Coordinator in writing, via email. Please send to quiltshow@centralalbertaquilters.org on or before February 29, 2024. Cancellations prior to February 29, 2024 are subject to a 25% administration fee. Cancellations between March 1, 2024, and March 30, 2024, are subject to a 50% administration fee. Cancellations on or after March 31, 2024, are non-refundable.

2.  Merchant will provide proof of Comprehensive General Liability Insurance in the amount of $2,000,000 to the CAQG Merchant Mall Coordinator via email to quiltshow@centralalbertaquilters.org no later than March 13, 2024. Merchants shall assume responsibility for any and all damage to the exhibit area, and they shall indemnify and hold harmless the CAQG Show Committee, Central Alberta Quilters' Guild and The Westerner Exposition Association, their employees, volunteers, officers, agents and service contractors acting as agents for said companies, from all liability, which may ensue from any cause whatsoever. Your Certificate of Insurance must include a Waiver of Subrogation in favour of the Central Alberta Quilters’ Guild and The Westerner Exposition Association and name both of these parties as additional insured. This is a mandatory requirement of The Westerner Exposition Association.

3.  Will abide by all the rules and regulations of The Westerner Exposition Association. This includes The Westerner Exposition Association current health and safety protocols. Failure to adhere will result in refusal of entry and all entry and registration fees will be forfeited. 

4.  Will not deface, damage or mar the premises or fixtures. Will not drive or permit to be driven, by any party acting for the merchant, any nails, staples, hooks, tacks, screws, or such things into any part of the premises or fixtures, including tape, that would damage the walls, ceilings, floors, or other facilities and equipment contained within the premises.

5.  Merchants are required to check in at the Merchant Registration table before setting up their booth.

6.  Please drop door prizes off at the Merchant Registration Table on Thursday, May 9, 2024. The generosity of our merchants over the past several years is greatly appreciated by the CAQG and the attendees. While this is not a mandatory requirement, we would like to encourage your continued support.

7.  Set up times on Thursday, May 9, 2024, are between 12:00 noon and 9:00 p.m. Set up may resume on Friday morning from 7:00 a.m. to 9:00 a.m. Please be prepared for the early entry of Breakfast Ticket holders at 9:00 a.m. General admission for the public will commence at 10:00 a.m. on Friday and Saturday. The merchant is responsible for extra help and any carts necessary to move their property.

8.  Your vehicles shall not block any doors or exits at the rear or side of the building. Temporary unloading and loading is permitted. This is necessary to allow emergency vehicles access to the building. Please note that the show is in the Exhibition Hall which is south of the Parkland Pavilion.

9.  Merchants will take down the booth immediately at the close of the show, but not before 4:00 p.m. on Saturday - refer to Condition 21. Merchant is responsible for extra help and any carts needed to remove their property.

10.  It is imperative that all your displays and products remain within your booth boundaries. There will be no exceptions.

11.  An electrical outlet will be provided in your booth. Merchant will furnish all extension cords, lighting and electrical equipment necessary to run their booth. 

12.  Limit sales representatives to: 2 people per 10 feet of booth space. All merchants and their agents must wear ID tags provided by CAQG at all times during the show.

13.  Not generate any excessive noise, such as speakers and music.

14.  Not sublet booth space.

15.  Not sell or serve any food or beverages to the Quilt Show attendees and public at large. Small candies are permitted for your customers.

16.  Not solicit business of any nature outside of your booth boundaries. Keep all staff out of the public aisles.

17.  Merchant is responsible for all local and provincial taxes.

18.  Merchant assumes the risk of theft from your booth. The CAQG members or volunteers, or The Westerner Exposition Association does not assume any responsibility for theft or damage to merchant's goods.

19. Any violations of these Terms and Conditions may disqualify merchant from future CAQG Quilt Shows. The CAQG Quilt Show Committee reserves the right to accept or reject any registration.
